Pro-rata holiday for regular workers

How to calculate holiday pay when someone leaves

  1. 1. Confirm the worker type. Use the regular worker route for fixed days or hours, and the irregular route for eligible zero-hours, casual, seasonal, or part-year workers.
  2. 2. Calculate statutory entitlement. For regular workers this is 5.6 weeks, capped at 28 days. For irregular workers it is usually 12.07% of hours worked in the pay period.
  3. 3. Deduct holiday already taken. The remaining balance is the estimated unused holiday to pay. A negative balance flags potential overtaken leave that needs payroll and contract review.

Most workers are entitled to 5.6 weeks' paid holiday a year. For someone working 5 days a week, this is 28 days. Part-time workers receive the same 5.6-week entitlement pro-rated to their working pattern.

For regular fixed workers, calculate the worker's annual statutory entitlement, work out the proportion of the leave year they were employed for, then subtract holiday already taken. Any positive balance is normally paid in lieu when they leave.

For leave years starting on or after 1 April 2024, irregular-hours and part-year workers usually accrue statutory holiday at 12.07% of hours worked in each pay period. The result is rounded to the nearest hour, with 0.5 hours rounded up.

Rolled-up holiday pay is where eligible irregular-hours or part-year workers receive an additional holiday pay amount in each pay period instead of being paid holiday pay only when leave is taken. Under current guidance, this is calculated at 12.07% of pay for statutory leave and should be shown separately on the payslip.

Statutory holiday entitlement builds up as normal while an employee is off sick. If sickness prevents them taking leave, some statutory leave may carry over, depending on the circumstances and worker type.
